McCrae’s Battalion Trust Privacy Policy

McCrae’s Battalion Trust (the Trust) takes your data privacy very seriously and is committed to protecting it. This privacy notice sets out what, why, and for how long we will use your personal data, as well as who it is shared with.

The personal information we hold:

We collect and retain personal information in relation to all Trust members’ specifically name, home address, email address, phone number membership type and annual membership fee details which may include bank details if you pay by direct debit.

For members and non-members who participate in trips organised by the Trust it is necessary to hold details such as passport number, date of birth, gender information and other relevant information required to book travel and accommodation. We do not store this information longer than is needed to book and attend trips.

Why we need your personal information

We only collect the information we need to administer your Trust membership and take payment as instructed by you; or to arrange travel on one of the Trust organised trips.

Who we share your personal information with

We may be required to share personal information with statutory or regulatory authorities to comply with statutory obligations. Such organisations include the Health and Safety Executive, Disclosure Scotland, and Police Scotland for the purposes of safeguarding children.

Third party suppliers with access to members’ personal data

Travel and accommodation companies we book directly with for organised trips.

How we protect your personal information

Your personal information is stored in a secure and password protected database and is accessed only by the Trust secretary and treasurer as required and described in this policy. Your personal data is not held or shared online.

How long we keep your personal information

We only keep your personal information for as long as necessary to provide you with membership services. If your membership lapses we will delete your data after two years, unless you contact us to resume membership. You have a right to:

  • Change your communication preferences, and to restrict processing of your personal data for specific purposes
  • Request that we correct your personal data if you believe it is inaccurate or incomplete
  • Request that we delete your personal information
  • Access the personal information that we hold about you through a ‘subject access request’.
